Why Lodge Secretary®?

Minutes

Lodge Secretary® provides a way to create and store simple text documents. You can use the built in text area or you can cut and paste electronic documents created using other editor tools. Stated meeting minutes, called meeting minutes, or any other types of documents you wish can be stored alond with a title, a date and the type,and can then be searched, sorted and printed. Templates can be used if you have a prefered format.

Events Calendar

The Lodge Secretary® Events Calendar allows you to add either recurring or one time events. Events are of type fund raiser, meeting, awards ceremony, funeral, installation, Christmas party, or what ever other type groupings you wish to add. Events are objects and you can load pictures and add lots of comments. An event with pictures can be turned into a web page and uploaded to you lodge website.
The events calendar can be linked to a Google Calendar. Members can then subscribe to the calender and recieve notifications, including text messages.

Birthday list, Masonic Anniversary list, Member phone list, financial reports such as the annual return: Lodge Secretary® can produce lots of nice reports. There is a print button on just about every page, so if you want an officers list, or committe assignments, an individual Masonic History report, or a list of who keys are issued to, you can print out what you see on the screen in an even nicer looking layout.

Membership Status

Depending on your lodge's bylaws, soon after a member has failed to pay his dues on time, his membership status goes suspended. Keeping track of this is one of the most tedious and difficult duties of the lodge secretary. Lodge Secretary® allows you enter dues payments easily and it allows you list, for the current year, all who have paid and not paid.

Lodge Secretary® proivdes a complete, if simple, general ledger system. Debits are entered into a form resembling a deposit slip. Credits are entered on a form resembling a check. Dues are a special case. Several reports are avalable including monthly statements, and budgeting.

The Budget is currently a form that lists a column for the major chart of account categories showing the total amount paid or recieved for the last three years. Based on those numbers you can enter your predicitions for the upcoming year.

Dues

Dues are a special case cashbook transaction. They posted (debited and credited) to the general ledger system, but they are also associated with a member. A special form listing members by year and thier amount paid and date paid provides a easy clear way to post and track dues. This is used to track a member's status.

Dual Memberships

Along with Chairs, committee assignments and awards, this information becomes Member Detail items on ones Masonic History report.
Each Lodge database is seperate and discrete, so information is not available to other lodges and active membership status from other lodges is not available.

Attendance

The Sr. Deacon's Report contains a section for past masters in attendence, visiting dignataries, a list of check boxes for offices in attendance, a list of other members who signed in, and a list of other visiting brothers in attendance. This can be used for other events besides stated meetings. This becomes part of ones Masonic History, and is helpful in detemining a members active status.

The furniture of the lodge, including the lodge building itself and other assets can be recorded here. Lawn movers, aprons, supplies, what ever you want to keep track of can be entered here and assigned a value and a depreciation schedule. Things that can be checked out to members can be tracked here such as library books. Keys are good example.

Every member can have photos associated with their file. Officers in their jeweles have thier photos uploaded every year for the installation. Events and Award ceremonies are two examples of where Lodge Secretary® provides the ability to upload photos. Web pages containing the images can then be generated.

Keys are a type of inventory item that can be checked out and assigned to members. There can be different types of keys: Keys to the Secretary's office, storage closets and utility sheds, as well as keys to the lodge itself. The dates inventory items such as keys are checked in and checked out and to whom are recorded here.

Biographies

In addition to the information available from and supplied to Grand Lodge, one of the best features of Lodge Secretary is the unlimited extra amount of detail that can be added for each member. Military service, public office, significant accomplishments, books published; anything can be added as Member Detail lines. Where a person was born, address history, and employment history, needed for petitioners, can also be maintained.
When a brother ultimately passes to that eternal beyond, this information becomes invaluable and can be used to prepare his eulogy.

Widows

The Geneology section describes how Lodge Secretary® Keeps track of wives, children, siblings, and parents. This is done with a table called Marriage. By querying on members who have died whose spouce has not died, Lodge Secretary® can produce a list of widows and print out lables for Christmas cards, etc. It is part of our obligation to care for the widows and orphans of Masons.

Why Lodge Secretary®?

Geneology

Among the many tables in the Lodge Secretary® database there are two major schemas; Person, and Member. A member is a person, but a person need not be member. A person simply has name, date of birth, place of birth, and date died. A person also has a collection of devices; home phone, work phone, cell, email, fax, pager... and a collection of addresses. You can add wives, children, siblings, and parents. You can go as far back as you want. This allows us to keep track of widows. If a sibling or a cousin or a great-grandfather is a Mason, you can indicate that as well.
Each Lodge database is seperate and discrete, so information about ancestors and relations who belong to other lodges is currently not attached.

Each lodge that chooses to use this system a spins up its own seperate and discrete embedded database instance with is own userid and password possessed only by you (so don't lose it). This is not to say that the NSA can't break in if they try hard enough, but on one will accidently see your data.

Why Lodge Secretary®?

Import and Export

This app was written by and for lodges in Texas. Once your private database instance is created, you can pull a .csv file from Grand Lodge and import it directly. For other states, instructions are provided on how to lay out the columns into a spreadsheet .csv file for initial import. You can export selected fields to a spreadsheet for you own use.
